    Construction Project Scheduling

    #1

If your planning to build the home of your dreams and you want to make sure everything is going the way you want it to go, make sure the contractor draws up a schedule. Construction Project scheduling is the most important part of the plan. A construction project schedule give the ability for all those involved with building your home is on the same page. This schedule will have the ability to successfully organize, plan and control all the different construction projects, giving each of those involved their own specific job to do so there is no confusion during the construction of who is suppose to do what job. The construction project schedule documents everybody's job and when their supposed to be doing. In addition to assigning dates to project activities, project scheduling is intended to match the resources of equipment, materials and labor with project work tasks over time. Good scheduling can eliminate problems due to production bottlenecks, facilitate the timely procurement of the necessary materials, and otherwise insure the completion of a project as soon as possible. However, there are those who don't know what their doing which results in poor scheduling and causes considerable waste as laborers and equipment wait for the availability of needed resources or the completion of preceding tasks. Delays in the completion of an entire project due to poor scheduling can also create havoc for owners who are eager to start using the constructed facilities. As with anything else in life, some scheduling of projects is often extreme. Various owners want detailed construction schedules to be submitted by contractors as a means of keeping track of the work progress. The actual work done is usually compared to the construction project schedule to make sure that everything is going as it should. After the construction is finished, you may want to compare the actual finished job against the planned schedule to see how close everyone kept to the schedule, and see how many changes you thought of and made during actual construction. In contrast to these instances of reliance upon formal schedules, many contractors don't like to use them because some feel that changing some things during construction makes for happier home owners. Sticking with a construction project schedule, there's no room for change. In particular, the critical path method of scheduling is commonly required by the owner, but is often regarded in the field as irrelevant to actual operations and a time consuming distraction. However, good construction companies use scheduling procedures whenever the complexity of work tasks is high and the coordination of different workers is required. Today, scheduling procedures have become much more common due to personal computers on construction sites and easy to use software programs. As a result, the continued development of easy to use computer programs and improved methods of construction project scheduling may overcome the practical problems associated with formal scheduling plans.

    Work Scheduling And Efficiency

    #1

Work scheduling is one of the most time consuming aspects of a consulting business. First you have the issue of work scheduling that goes into your evenings and weekends and then you have to juggle which clients to schedule when and for how long. When you first start out, work scheduling for evenings and weekends may be a necessity. You have to pay the bills and if that means supplementing 9 5 clients with the occasional evening or weekend job that's ok. When you find most of your work is scheduled for evenings and weekends, then you have a problem. Look to start phasing out some of these nights and weekend jobs as much as possible. Reserve work scheduling for nights and weekends for major emergencies and prescheduled major upgrades. These are not regular occurrences and they might only happen once or twice a year per client. Other tips to try include: Charge Premiums For Off Hour Work A useful strategy for discouraging work scheduling on your "off" time is to charge a premium for off hour work. Then, as a marketing tool you can offer service agreements where some or all of these premiums are waived. Implement Service Minimums A very important tool for efficient work scheduling is setting a 2 or 3 hour minimum for service calls. This makes your work scheduling much easier and you don't have to run around to more than 2 or 3 clients a day. If you want to bill 4 hours per day and you work with one hour minimums, you have to see at least 4 different clients per day. Unless they happen to be around the corner or down the street from each other you're going to drive yourself nuts: Parking, tolls, spending your whole day in the car, it’s not a lot of fun. Do Work Scheduling in Advance By scheduling your client visits ahead of time you can maximize your time. Start work scheduling for efficiency if you will be in the neighborhood 3 weeks from now, book a nearby client for that day as well. The Bottom Line on Work Scheduling Work scheduling can give you an edge if you do it correctly. Be smart with your work scheduling and maximize your billable hours and efficiency. With some proactive planning you can make the task of work scheduling work for you, rather than against you. Copyright MMI MMVI, Computer Consulting Blog. Google Ad Scheduling

    #1

: Finally! Google has introduced Ad scheduling for AdWords. This new system allows advertisers to choose when ads should appear, and how much each ad should cost. To access the dayparting features in Adwords, just edit your campaign settings. Click on "Turn on ad scheduling". You will have to specify a time zone if you have not already done so. Now you can specify the time periods your ads will appear. For example, if your B2B customers are located in the U. S. and Japan, you can specify that your ads only be shown during business hours in those areas. If you are directly targeting consumers, and you know that your customers are more likely to buy during the usual "after dinner" hours, you can specify that your ads only be shown during this time. There is also the control of adding several day parts within each day. To make life easier, you can also do a "bulk edit". This means you can specify hours of the day, and apply them to every day of the week. The default setting is to have all the ads on all the time. You have even more control when switching to advanced mode for Ad Scheduling. You can specify how much you want to pay for each ad. If you know that your customers buy more during the hours of 9 5pm, you can up your bid to 130%, for example. If your normal max bid is $1.00, then during the specified hours, your max bid becomes $1.30. After the time period ends, your max bid reverts back to $1.00. During low conversion hours you can pay less for an ad just specify a lower bid percentage. Bear in mind, however, that the time of day on which all this is based is your time zone. Your ads will appear within the time frames you specify in your own time zone. Make sure you allow for different time zones when specifying your ad scheduling. If you are in EST, allow 3 extra hours for those in PST. According to Google, Ad scheduling will not generally affect your budget. Remember, however, that there is the risk that Google may not be able to spend all of your budget if you specify too narrow a time frame, or too low a bid price. Of course, maximizing the power of ad scheduling will require some testing. Check your analytics program for the best conversion times, and see what happens when you raise or lower your bid prices. Remember, however, that sometimes customers may require some time before they actually buy something. A customer who finds your site on their lunch break may not be purchasing until after dinnertime at home. It will require some analysis before you can be sure that you are getting the most out of Adwords ad scheduling. All in all, Ad scheduling for AdWords is a feature that has the potential to really improve the efficiency of your ad spend, if you are willing to put in the time. Google dayparting is a feature that has been long in coming.

    Software To Go

    #1

: When a change agent is overseeing multiple projects at the same time, he’ll need software to free him from the tasks of inputting data manually. In a large company where there are hundreds of players and conflicting issues to manage, software is a “necessary evil.” Since the era of globalization is upon us, we need to adapt to changing technologies. An essential factor to consider is to weigh the pros and cons of software programs, bearing in mind that most people don’t really use all of a software’s features and capabilities. The fundamentals must be addressed: does it serve our purpose, how will it increase productivity, is it user friendly, how steep is the learning curve, and how quickly does it spew out critical information? Don’t Say No Right Away If you’re a project person, there are project management software programs that you could look into. Common features of project management software are: • scheduling • critical path calculation • information (roles, assignments, history of project activities, workload, warning signals Other software programs are much more sophisticated and industry focused and therefore have additional and advanced features. Indeed there have been criticisms against project management software. These criticisms range from focusing on schedules rather than on project objectives, deviating from a sound project management philosophy, not distinguishing between the pre planning and post planning phases, not being able to keep up with project progress, having too many features that don’t serve a purpose and removing the personal interaction of the project administrator with team members. These are all valid arguments no doubt, but when you’re handling large projects, you need a tool to alleviate some of the burden that comes with manual file keeping. The smart thing to do would be to test different software programs and request a demonstration and trial period from the manufacturer. To actually turn your back to software just because other people have criticized it is not the right approach. You’ll have to find out for yourself; don’t close the door to possibilities that technology has to offer. Heard of Gantt? If you work in project management, you’ve probably heard of the Gantt Project. It is one of the more popular project management software that managers use. It falls under the open source category and runs on Windows, Linux and Mac. By the way, it’s free. No need to request a special budget for it! Some key features of this software program are the abilities to: (a) set up task hierarchies and dependencies, (b) generate a PERT chart and a resource load chart and to (c) produce reports in PDF and HTML formats. If you go to the Gantt Project web site (type “ganttproject dot com”), you will see screen shots that will help you visualize how you can adapt the software to your needs. Given that the GanttProject software program is based on scheduling, you can divide your project into small tasks and assign people to each of these tasks. The software also lets you decide dependencies between tasks. Dependencies simply mean that you create a link between one or more phases of a given project. To illustrate: your project consists of three principal phases: the first phase is to order raw materials from three potential suppliers, the second phase is to analyze the suppliers’ costs and delivery schedules, and the third phase is to request management for a raw material budget. You can establish that the third phase cannot be done until the second phase is 100% complete. What About Open Workbench? Another popular project management software is Open Workbench. It is also open source and while it can be downloaded for free, users will need to purchase the Clarity upgrade if the program is to be used on an enterprise wide basis. Unlike Gantt, Open Workbench is available only for Windows and is considered an excellent substitute for Microsoft Project. It has four main uses:

  • project planning (definition of tasks, dependencies, sub projects and guidelines, calendars),
  • project scheduling (this is performed in the program’s Auto Schedule),
  • resource management (resources are in the form of people, equipment, materials, cash)
  • project review (track progress, determine rate of completion, estimate dates for final completion, resetting of project if necessary)
  • There are at least 30 other project management software programs that are available either as free or fee based programs. Before you argue against software, it won’t harm to try at least a couple. Who knows, you may fall in love with one of them and blame yourself for not hopping into the bandwagon sooner. If you do decide to adopt a software program for your projects, make sure that you have the permission to do so. Be sensitive to the IT platforms of your company and speak with your IT department to verify if the software program you’re about to choose will be compatible with the company’s existing platforms. Explain to your members also that the software should be used strictly for office projects. It cannot be used to monitor their personal projects.

    Project Management Software

    #1

Project management software exists in many different levels of sofistication and variety of prices. This article aims to help project managers realize what kind of project management software tools they need and find out how computers can help them in everyday routine. Before choosing some particular tool you should have a look at the different kinds of projects to manage and corresponding PM skills. It is very important to pick a project management software tool appropriate for you and your organization. The following types of projects and project management software should cover the field broadly, though any categorization is very relative. Project management software for small projects, usually in single functional area At this level project managers usually plan and schedule only durations of project subtasks rather than resource capacity or work estimates. They do not need to track a project budget and their project status reports contain only completion date tracking. Project management software in this situation helps project managers to automate such basic routines like * planning project flow * occasional status reports preparing * producing Gantt charts If your project management tasks are not intended to grow and such functionality is enough, you should not spend a lot of money nor waste your time on long learning curve about features you’ll never use. Project management software for managing larger projects Project budget is very important now, therefore we need a project management tool to give us the capability to estimate resources and money at every stage of the project. As more people are getting involved in the project, software should provide the ability to create numerous status reports from simple total project cost to more sophisticated ones. As the size of the project grows, the number of project management techniques increases. Requirements for project management software change accordingly. At this level project management software must be able to work not only with the static representation of start and finish dates for each project subroutines, but it needs to be powerful enough to simulate the project and reschedule it every time something changes in project flow. Project management software for huge multi project environment At this high end level we need project management software that meets a lot of additional requirements. Now we need to roll up multiple projects and require consistent information for decision makers. Among the features they need are: * material resources allocating (including finances) * scheduling and tracking a pool of human resources * sharing resources between multiple projects * sophisticated risk assessment tools * detailed project performance tracking * creating a detailed project budget. This brings project management software closer to the company’s accounting system If you need a lot, you have to spend a lot. Project management software for this purpose costs from $400 up to $3000 and even more. Such packages usually have network versions and team communication capabilities. Categorization above was rather comprehensive over the last years. But modern project management reality changes constantly, therefore we can talk about one more project management software category. Project management software for managing multiple projects in small and mid size businesses It often happens that project managers face the need to manage multiple projects simultaneously, using resources that can be shared between them. But they do not need a huge and extremely expensive project management software tool with thousands of not really needed features. What should they choose? ConceptDraw Project can be the answer. It is a cross platform (Mac OS X and Windows) project management software tool that allows the project manager to automate project routines from planning and assigning resources to powerful report generating capabilities

Staff Or Employee Scheduling Balances Several Requirements

    #1

: Staff or employee scheduling or rostering relates employees, workplaces and work times. A workplace schedule lists the employees who will work there at different times. The times might be specific hours, dates, weeks or even months. A workplace can be retail store, manufacturing facility, head office, or even an external place for field sales persons. The key idea is that there should be clarity of who will work where and when. This would help the employee to know what is expected of him or her. And managers would know where an employee is expected to report for work on a given day and time. Rostering employees is not as simple as it might seem. You cannot just create an employee schedule by selecting any employee and including him in the roster. You have to balance a number of things, such as employee vacation plans, skill requirements for work being scheduled, employee unavailability owing to sickness, and so on. Different Kinds of Employee Schedules Employee rosters are typically created in a grid form with columns and rows. There are daily schedules where employees are typically listed in chronological order based on the scheduled times they will report for work. Weekly and monthly schedules list employees in the first column and dates (or days of the week) in the headings of the other columns. Against each employee under each date the scheduled working hours for that employee are indicated. In this kind of schedule, the employees are listed in alphabetical order for ease of finding a particular employee. Who Creates Employee Schedules? In smaller organizations, the owner himself or the manager of the employee creates the work rosters. In larger organizations, there could be a scheduling specialist in the HR department responsible for creating employee and workplace schedules. In these days, scheduling or rostering software is used for efficient employee scheduling. In addition to timesavings, rostering software can alert the person preparing the workplace schedule when there is a conflict between employee vacation time, sick time or compensation time with work time. Employee scheduling software can also accommodate differing requirements such as flexible working hours, optimizing worker, equipment and vehicle utilization, and better control over field personnel. The key benefit of using rostering software is that it can work extremely fast compared to humans, and at the same time consider many factors before scheduling each employee to a workplace at a particular time. Humans would find it impossible to handle this kind of complexity and produce timely employee schedules without causing problems with the scheduling. A rostering software can also revise an already prepared employee schedule quickly if it becomes necessary, as when a scheduled employee reports sick. The software can additionally accumulate the schedules in a database and analyze them for various purposes. The analysis can also help current scheduling by looking at each employee's work history so far. Conclusion Preparing a staff or employee schedule or roster involves balancing several requirements. For example, the scheduled work time must not conflict with an employee's scheduled vacation time. Similarly, if an employee is absent sick, the person cannot be scheduled until he or she is back. A rostering software can handle the complexity involved in employee scheduling and produce dependable schedules in short time.

    The Basics Of Project Management

    #1

Any project can only be successful if the people behind the project implements proper project management skills or hire a reputable and dependable project management group. Project management may sound like a complicated term and it really is as it involves the process of organizing the different factors involved in creating and completing a project. All projects should start out with a good plan so that the project creator would know the things required for the project to proceed as well as the necessary timeframe within which these requirements must be accomplished. The project plan should identify the scope of the project and the people accountable for the various aspects of the project. The plan should include the costs involved in managing the project including the costs involved in hiring human resources and materials for the project. A good and realistic plan will enable the project manager to fulfill the project requirements on time and in an efficient manner. Like every other project, a project management plan should include a good plan for human resources as they will be the best resources the project manager can have. Another important aspect is the communications plan not only between and among the project manager and the employees or workers. It should also include a good communication system with the outside world. The project manager should be more wary of a good communication plan especially if the project has a very great impact in a certain community. If this is the case, the project manager should also make sure to include a public relations plan as well as a communications plan in cases of emergency or negative reaction from the public. Risk management should be one of the most important aspects of the project plan. The project manager should avoid being reactionary whenever emergencies or negative publicity comes up. To avoid this and to become proactive he should establish a contingency plan for possible situations. One of the most challenging projects to handle or to manage is a software project because of the technical emergencies that may happen, the sudden changes in costs and the sudden changes in technical people involved in the software project. However, a project manager should always be prepared for any eventuality for any type of project he is handling. The best thing to do is to prepare a very efficient project management plan so that he is not caught unaware of very important aspects of the project.

    Small Business Think Big

    #1

Running a small business is much harder than running a corporation. Surprising? Not if you're a small business entrepreneur. As a fledling business owner on a restricted budget you have to multi task, juggle, prioritize and balance. Unlike corporations, you don't have a specialized professional team to help you manage, allowing you to focus on more critical business strategies. Neither do you have the capital to afford such luxuries. At best you have about twenty employees that you need to train, supervise, motivate, schedule and pay. You're the sole manager, running your business on a shoe string budget with only 24 hours a day. Given such stressful financial and time constraints, how can you successfully maintain a balance between excellence, efficiency, and improving productivity all on your own? The answer? Think big. Manage your business like the big corporations do. Corporations rely on efficient organization that is cost effective. Yes, even big companies have budget (granted big, but not unlimited) constraints that warrant resourcefulness. Today big businesses resort to business management software whenever possible to replace business processes that were once done manually, reducing costs of labor, time and human error. Scheduling employees, for instance, used to be a tedious, time consuming task before automated scheduling software made rosters, schedules and shift management a breeze. Today, small businesses can not only easily be a more efficient organization with the help of such software but can also obtain business software at no cost. The business software market offers a variety of free trial software programs for evaluation before purchasing. The downside of those programs are either a time limitation (meaning you might not get fully acquainted with all features) or limited in features (meaning you can't test all the features). If you like the program, you find out it carries a corporate price tag. On the other hand, there are companies (few though they exist), such as Kappix, that offer free fully functional business management software, with no time/feature limitations. Kappix, a leading provider of employee scheduling software, provides businesses of all sizes with DRoster Employee Scheduling. DRoster creates, manages, and automates shifts, rosters, schedules, personnel contact information, job descriptions and tasks. DRoster Employee Scheduling software enables a small business to manage its workforce in advance. You can ensure replacement for absentees, breaks, time off, vacations. Kappix gives small businesses the professional edge that big companies have. This software provider is an example of the few quality providers of true free business management software. Now you can "think big" focus on more critical business issues and leave the scheduling to DRoster. Kappix provides DRoster at no cost along with free support. Their employee scheduling software is intuitive and designed to meet the scheduling needs of a myriad of industries. Free software like Kappix's DRoster Employee Scheduling Software, can afford you the time to boost productivity without sacrificing valuable money and precious time. Advertising Agency Software What You Need To Know

    #1

There are many different types of software that an advertising agency needs to conduct business efficiently. Here are some examples of tasks that can be supported by software that is currently available to agencies: • Create estimates and quotes, invoices and schedules for client approval • Prepare drafts of a new brochure, print ad, or annual report for review • Manage client feedback on direct mail materials • Track key project milestone dates • Prepare and review media plans • Prepare a storyboard presentation for a client • Prepare market research • Schedule project tasks • Review rough cuts • Create project timelines • Manage external client and prospect requests • Schedule media • Time tracking • Track expenses against estimates • Plan and analyze resources usage • Accounting and bookkeeping To meet these needs, an advertising agency should consider the following: Graphic Design Software – The agency will need a creative design Application Suite like Macromedia Design Suite or Adobe Creative Suite to do the basic graphic design, storyboarding and other more creative aspects of producing advertising material. Audio and Video Editing Software – If they do the mockups of their radio and television commercials in house they will need to be able to edit them for client review before they turn everything over to the actual production company that produces the final versions. Office Applications Most companies use Microsoft Office for word processing, spreadsheet and presentation software since it has become the standard for businesses. Contact Manager – The agency needs a good contact manager to keep track of all of their client information. Larger agencies may want to opt for a sophisticated customer relations management (CRM) system instead. Email Client – An agency needs a good email client. Although there are a lot of good email clients available, Outlook is the business standard and has scheduling capabilities for meetings, distribution lists, public folders, the ability to flag all correspondence from specific individual clients and basic content management capabilities. Project management, Time & Expense Tracking Software – because they work on individual projects, an agency needs software that can track all of the costs associated with each project. The software should be able to track employee time with the ability to use split rates and multiple rates, raw materials, outsourced invoices, etc. Accounting Software – They need standard accounting software that provides invoicing, accounts receivable, accounts payable and general ledger functions. Larger agencies may need the software to handle multiple currencies and tax codes. New Possibilities With the advent of extranets, special software suites have been developed specifically for advertising agencies. They include programs that can provide contact management, time & expense tracking, project management, scheduling and email management. Some of the applications can even interface directly with the firm’s accounting software. Another innovation is the client service extranet. They have replaced email as the favored forum for sharing and organizing the vast number of documents that are part of all client/agency relationships. Using an extranet allows all employees, vendors, suppliers, clients and others on the project team to have real time access to all of the pertinent project details from anywhere in the world. Best of all, an extranet makes it possible to share the design documents, audio and video clips with the project online in real time. No more waiting for courier delivery or a face to face meeting providing better customer service than ever before possible.

How To Schedule But Not Over Schedule Your Children

    #1

It is important to engage children in a variety of activities to stimulate their mind and body. It is also important however to as much as possible avoid over scheduling your children if possible. Many well meaning parents set out to interest their children in a few extra curricular activities aside from school and ordinary family fun stuff. It’s natural to work hard to be the best parent that you can be. However, many parents so caught up in the chaos of ordinary busy life that they assume that scheduling their children for as many activities as possible is actually the best way to rear kids. Realistically however, over scheduling your children has the potential to impact your family in a negative way, preventing your child from enjoying quiet solitude and some occasional time to simply reflect on life and enjoy an ordinary, ‘lazy’ day. Parents nowadays are excited to schedule their children for as many activities as possible, buy into the latest developmental tapes and do everything possible to stimulate early intellectual development and healthy habits. Not surprisingly, this pattern of over scheduling can backfire, and leave kids exhausted, confused, discouraged and un motivated. Remember in times of old scheduling activities was virtually unheard of. Parents traditionally have gone with the flow, encouraging their children to engage in active play as they see fit. So how do you encourage your children to get involved without over burdening them? Here are some tips from experienced parents: Schedule One Activity Per Season – if you are interested in getting your children involved in sports for example, schedule something for the spring and something for the fall. Don’t worry about having a plan for every season, or every weekend day. This one activity will be enough to stimulate your child’s development and encourage a healthy lifestyle without over burdening them. Allow Your Children a Choice – you want to try as best as possible to select activities your children will enjoy. To do this you should consider one or two different activities and consult with your child. If you register them for soccer but they hate soccer, you will probably only end up frustrated, and your child will not benefit from the experience. Allow Quiet Time – allow some portion of the day/week/month where your children don’t have to do anything. Introspection and time for simply exploring are essential components of a child’s development. We are all well meaning parents in the long run. Just remember that a good parent isn’t defined by how many activities they involve their children in each and every day. A good parent is one that allows their children the opportunity to explore many different things without forcing many different things on their kids.

    Guide To Project Management

    #1

A project is an assignment or task taken up to achieve a specific goal. The development and introduction of new services or of a management information system are instances of a project. A project is different from the continuous or day to day processes of a company. It is confined within cost, time, and quality constraints. As a consequence to it a special team of expertise is appointed to manage a project. Project management as the name suggests is all about nurturing or handling a project. This is done with the aid of requisite knowledge about the project, skills and techniques to complete the project within fixed tenure and resources. Project management involves step by step procedure along with a prudent approach towards the project. At first the concerned organization prepares an outline of the project. This includes knowing and writing down what the project is all about, the cost involved in the project, the amount of resources needed. A thought is also given to the tentatively earliest possible time within which the project can be completed. Once the budget and other nitty gritty’s about the project are known the organization looks for sponsors and a project manager. If the individual sponsoring the project is skilled and efficient enough, he too can be its manager. The project manager then appoints a team of people to work under him. Together with the team the manager of the project prepares a project plan. This plan is not just about the cost and time factors but also regarding the manner in which the project is to be initiated and covered up later. This requires lot of discussions and settlements between the project manager and the team of employees. The implementation stage of a project is where the project is put to execution as decided. While executing a project its progress and managing changes need to be carefully monitored. At this point in order to harness the resources well the project manager might feel the need to expand his team. For instance marketing of the product may be suffering due to more heed being paid to its manufacturing or due to lack of good marketing executives. This may also involve contacting new companies and organizations. Thus a set of people needs to be readily appointed to take charge of this. However then it is always at the onus of the manager to equip the new members with a proper and complete knowledge of the project. In some cases training may also be imparted. After all these stages are over, the project comes at its stage of completion. This is known as the close down stage. Here the project manager safely handles the completed work in the hand of the client or the customer. Once a project is finished and handed over, a project review meeting should be held to study the work done, encourage if something good was discovered during the project and also learn from the mistakes made. These should also be documented and later published in warts and all. This acts as a great help in future assignments
